1. Why SOPs Decide How Far You Scale
An SOP is a written checklist for one job: what triggers it, the steps, what done looks like, and who checks it. That's all it is.
Without them, every task routes through you. You source, you buy, you answer the prep center, you build shipments, you fix pricing. That works at a few thousand a month. It caps you long before the numbers in how to scale Amazon FBA.
Write the SOP the next time you do the task. Record your screen, talk through what you're doing, then turn the recording into steps.
2. How I Hand SOPs to a New VA
"So I start with these and I walk them through like doing easy things and adding more complex task one step at a time. So I start with admin task, then I start with you know like taking care of the target list, doing stuff like that, reviewing things like that, managing calendars, um then sourcing. When I do sourcing, right? I start with easy task."

Order matters. Give a new hire the low-risk SOPs first, check their output, then move them up to tasks that spend money. The full hiring side is in hiring your first Amazon FBA VA and Amazon FBA VA training.
3. SOP 1: Daily Sourcing
The sourcing SOP says where to look and in what order. Retailer sales from your target list, storefronts you track, then any scans you run. It names the filters too: minimum ROI, minimum profit, sales rank range, seller count.
End the SOP with the output format. A lead sheet with the ASIN, source link, buy cost, sale price, profit, ROI and a note. If two VAs send leads in two formats, you lose an hour a day merging them.
The OA daily routine is a good base to copy from.
4. SOP 2: Lead Review and Buy Decision
This one stays with you longest. It lists what you check before money goes out: Keepa price history, buy box behavior, Amazon on the listing, eligibility and hazmat flags, and how many units to buy.
Write your quantity rule down. Something like: estimated monthly sales divided by FBA sellers, then buy a share of that. The how many units to buy post covers the math.
5. SOP 3: Purchasing and Order Tracking
Who places orders, on which card, to which address, and where the order gets logged. Include the prep center's address format and any inbound reference they want on the order.
Add a tracking step. Every order gets logged with the order number, tracking number and expected arrival. When something goes missing you want to find it in one search, not by digging through email.
"It's so much easier if you have an issue with one ASIN, you can just go and click, like just search up for the ASIN and you'll get all the documentation, all things that you need, all the tracking number. So, it's super easy to actually start building an appeal, right, with all the documents that you need if you have an inauthentic complaint or an IP complaint or whatever, right?"

That same log saves you when a complaint hits. Keep invoices and receipts filed by ASIN.
6. SOP 4: Prep Center Inbound and Labeling
Amazon stopped US FBA prep and item labeling on January 1, 2026, and commingling ended on March 31, 2026. If you're not the Brand Representative, every unit you send needs its own FNSKU label. Your prep center does it, or you do.
The SOP covers what you send the prep center for each batch: ASIN list, quantities, FNSKU labels, any bundling or poly bag notes, and the deadline. It also covers what you check when they report a problem: missing units, wrong item, damaged box.
Labeling steps are in how to print FNSKU labels. Picking the right partner is in how to choose a prep center.
7. SOP 5: Building Shipments in Send to Amazon
Every shipment goes through Send to Amazon. The SOP spells out how you pick between an Amazon-optimized split, which carries no placement fee, and a minimal split, which costs a per-unit fee that Send to Amazon shows before you confirm. Set a rule so nobody picks a split by accident.
Include box content rules and the checks before you hit confirm. The step-by-step lives in the shipping plan tutorial and the inbound placement fee breakdown.
8. SOP 6: Repricing Rules
Write down which rule each product type gets, your min and max price logic, and when someone should step in by hand. A repricer with no written rules gets changed by whoever touched it last.
Your min price should come from your real cost so the repricer can't sell you into a loss. Compare tools in best Amazon repricers for 2026.

Set a monthly review. Pull inventory age, decide what to reprice, what to remove, and what to send to a prep center that handles returns. Aged inventory surcharges start at 181 days and climb with age, so the review date matters.
The SOP should say who makes the call, what price drop is allowed before removal, and where removed units go. The sell-through rate post helps you set the trigger.
10. SOP 8: Reimbursement Claims
Claims are money Amazon owes you, and the windows are short. For units lost or damaged in a fulfillment center, you have 60 days from the day Amazon reported it in the Inventory Defect and Reimbursement portal or the Inventory Ledger. Shipment claims open once the shipment shows eligible for investigation and close 9 months after verified delivery.
Since spring 2025 Amazon reimburses lost or damaged warehouse inventory at manufacturing cost, which for a reseller is what you paid. Keep invoices tied to each ASIN so the claim goes in clean. Details in how to file an Amazon FBA reimbursement claim.
11. SOP 9: Account Health and Documents
Someone checks Account Health on a set schedule and logs anything new: complaints, policy warnings, listing removals. The SOP lists which documents to pull and who writes the response.
"If you're using AI to retrieve all your files, like if you're a little bit smart about it, like can literally do it in 10 minutes if you have a good system, right? If you have bad systems, like maybe it's going to take you two hours, like at worst, not more, right?"
