1. Two Places Amazon Rejects Invoices
An Amazon invoice rejection shows up in one of two places, and the fix depends on which one you're in:
- A selling application: you applied to sell a gated brand, category or ASIN and Amazon declined it
- A policy appeal: you answered a performance notification, often an authenticity complaint, and Amazon didn't accept your invoices
Amazon documents different requirements for each one. Everything below comes from Amazon's current help pages, linked in each section, because invoice advice from forums and old videos goes stale fast.
One rule covers both: the only fix is a real invoice from a real purchase. No amount of resubmitting turns a bad document into a good one. If you're new to gating, start with the ungating guide and the online arbitrage pillar.
2. What Amazon Counts as an Invoice
Amazon defines the term on its invoice requirements for appealing a policy violation page: a document that records the final transaction of goods between a buyer and a supplier, issued directly by the supplier, with an itemized list of goods received and the terms of sale for a completed transaction.
Three words in that definition decide most rejections: issued, itemized and completed. A document you made yourself, a quote for an order that hasn't shipped, or a page with no product lines fails before anyone reads the details.
Amazon says the purpose is to verify you source from legitimate suppliers. Keep that in mind when you read a rejection. The reviewer is asking whether this paper proves a real purchase from a real business.
3. What Amazon Says About Ungating Invoices
For selling applications, Amazon's categories and products that require approval page lists what to prepare:
- Purchase invoices dated within 180 days
- Clear product photos showing all sides
- Brand authorization letters, if applicable
- Safety certifications, when required
- Commercial liability insurance documentation, for certain categories
The same page puts the review at 2 to 7 business days. The Selling Applications FAQ adds the key line: requirements vary by product, they're listed on your Selling Application page, and if any information is missing or a requirement isn't met, Amazon declines the request.
The exact rules for your product live in your own account. Click Apply to sell, then Request approval, and read every requirement on that screen before you upload anything.
4. What Amazon Requires for Appeal Invoices
For appeals, the invoice page sets a different bar. Invoices must include:
- Supplier contact information: name, phone number, address and website
- A clear issue date within the 365 days before you received the performance notification
- Quantities that cover your sales and in-stock inventory for each cited ASIN over the past 365 days
- Sales records for each ASIN tied to the violation
- Clear product identifiers: names, model numbers, or UPC, EAN or ISBN
- Variation details that match your listing, and every component for a bundle
Files must be PDF, JPG, PNG or GIF, 10MB or smaller. Amazon also says you can remove pricing, but everything else has to stay visible and clear.
The quantity rule catches arbitrage sellers. If you sold 300 units and your invoices cover 120, the documents don't support your sales. For the full appeal walkthrough, read the inauthentic complaint guide.
5. Documents Amazon Won't Accept
The appeal invoice page lists documents Amazon won't review:
- Invoices sent by email or third-party sharing instead of through Seller Central
- Sales quotes, pro forma invoices, or anything issued before a completed transaction
- Self-issued invoices, or invoices where the supplier looks like the same business as the buyer
- Invoices that were digitally manipulated or come in an editable format such as Excel or Word
- Illegible, low-resolution or inconsistent invoices, or ones missing required details
Compare your rejected document against that list first. Those five lines take a minute to rule out, and they're the cheapest gaps to find.
6. Read the Rejection Reason
Amazon tells you more than most sellers read. For a selling application, the FAQ says to review the correspondence Amazon sent to your case log or email and then review the approval requirements again. For an appeal, Amazon says your Performance Notifications will identify the reasons it couldn't accept your invoices.
Match each stated reason to a specific gap:
- Date outside the window: you need a more recent purchase
- Quantity too low: you need invoices that cover the units
- Product not identifiable: you need an invoice with names, model numbers or UPCs
- Supplier details missing: you need the supplier's official invoice
Then fix that gap with a real document. Changing the wording of your note without changing the evidence wastes an attempt.
7. Legit Ways to Fix a Rejected Invoice
Every fix starts with a real purchase and the supplier's own paperwork:
- Ask the supplier for its official invoice if you submitted an order confirmation, packing slip or quote
- Make a new purchase from the supplier if your invoice falls outside the date window
- Buy enough units to cover what Amazon asks for, from a supplier that issues itemized invoices
- Switch to a supplier you can verify if your current one can't produce a document that meets the requirements
"Like it happened to us that we had stuff stuck for a long time, right? Guess what? Whenever that happens, we get the PO like we get the appeal all the documentation actually done really really fast."

Speed comes from organization, not shortcuts. If you keep every invoice filed by ASIN, a resubmission takes minutes. Distributors and wholesalers are the usual source of the itemized invoices Amazon describes, and the wholesale sourcing guide covers how to open accounts with them.
8. Never Edit, Borrow or Fake an Invoice
Amazon says any document you provide must be authentic and unaltered, that it may contact your supplier to verify the information, and that it may reject invoices it judges inauthentic or inaccurate. Editing a date, changing a quantity, using someone else's invoice or buying a document from a "template" seller puts your whole account on the line for one ASIN.
"Right? Now the issue with that is that you know people selling fakes are faking invoices. Okay? you're just hurting the sellers that are actually like there's a lot of people like running a business on Nike stuff, right?"

If you can't get a real invoice that meets the requirements, the answer is to skip that brand or category for now. There's plenty of open product to sell while you build supplier relationships. The online arbitrage legality guide explains why documented sourcing protects you.
9. When It Isn't an Invoice Problem
Some rejections have nothing to do with your documents. If you see "Your account does not qualify" on a selling application, Amazon's approval page says you can't sell that product, the decision can't be appealed, and Selling Partner Support can't give more detail.
The FAQ also says that when there's no Apply to sell option, Amazon isn't accepting applications for that product right now. A better invoice won't change either answer. Move on and check back later.

A declined application is normal. The FAQ says you can submit a new application as long as you upload new documents for review. That's the system Amazon built, so use it.
"there are some underlying issues with your business because if you're if you're not able to actually spend $500 to actually get approval to actually sell a brand because you're scared of some products being restricted whatever you're scared to actually submit an invoice 50 times"

Each new attempt needs a better, real document, not the same file sent again. Nobody can promise an approval, me included. You control how complete and authentic your paperwork is. For a related decision, see whether ungating services are worth it.
